This privacy notice explains how we collect, use and protect personal data on www.be-the-one.co.uk (“the site”). We follow UK data protection law, including the UK GDPR and the Data Protection Act 2018.

3) Personal data we collect

  • Contact emails: name, email address and the content of your message when you email hello@be-the-one.co.uk.
  • Story submissions (if invited): your name (or pseudonym), contact details, your story text, and any images/video you choose to provide. We will only publish content with your permission.
  • Website usage and cookies: standard analytics information such as pages viewed, device/browser details, and approximate location (country/region). See the Cookies policy for details.
  • Social media interactions: if you engage with us via our social channels, platforms may share limited analytics with us. Your use of those platforms is governed by their privacy terms.

Please do not include sensitive details (e.g. clinical history) in emails. If someone is in immediate danger, call 999. Emails are not monitored 24/7.

4) Our legal bases for using your data

  • Consent: when you ask us to publish a story, provide images/video, or accept non-essential cookies.
  • Legitimate interests: to run and protect the site (e.g. security, analytics), and to respond to enquiries.
  • Legal obligation: where we need to keep records we are required to retain.
  • Vital interests / safeguarding: in rare cases, if information suggests a serious and immediate risk to life, we may share information with emergency services.

5) Special category data

Stories may include details about health or lived experience. We will only process or publish such information with your explicit consent. You can withdraw consent at any time (see section 11).

6) Children and young people

Content on this site is suitable for a general audience. If you are under 16, please obtain permission from a parent/guardian before sending us personal data. We will not knowingly publish a child’s personal data without appropriate consent.

7) Who we share your data with

  • Service providers (processors): trusted vendors who host our website, provide analytics, security or email services. They must follow our instructions and keep your data secure.
  • Emergency services / safeguarding partners: only where there is a serious and immediate risk to life.
  • Legal and regulatory bodies: where we are required to do so by law.

We do not sell your personal data.

8) International transfers

Some service providers may process data outside the UK. Where this occurs, we rely on appropriate safeguards (e.g. adequacy regulations or standard contractual clauses).

9) How long we keep your data
